Terms and Conditions

Effective date: 13th October 2026

These Terms of Service (the "Terms") govern your access to and use of the VoyaWise website at https://www.voyawise.com and any booking, search, account, or related services made available through it (together, the "Services"). The Services are provided by VoyaWise ("VoyaWise," "we," "us," or "our"), 7901 4th St N, Ste 300, St. Petersburg, FL 33702, United States.

Please read these Terms carefully. By accessing the Services, creating an account, or making a booking request, you agree to be bound by these Terms. If you do not agree, do not use the Services.

1. Who These Terms Apply To

VoyaWise is designed for business and corporate travel. These Terms apply to:

  • Companies and organizations that use the Services to arrange travel for their personnel or guests ("Corporate Customers");
  • Travel managers and administrators who manage travel arrangements on behalf of a Corporate Customer ("Travel Managers");
  • Travelers and other individuals who use the Services to search for or book travel, whether for themselves or on behalf of others ("Travelers"); and
  • Visitors who browse the website or contact us.

Together, Corporate Customers, Travel Managers, Travelers, and Visitors are referred to as "you." If you use the Services on behalf of a company or organization, you confirm that you have authority to bind it to these Terms, and "you" includes that organization.

If you or your organization has signed a separate written agreement with VoyaWise, that agreement applies in addition to these Terms. If the two conflict, the separate written agreement controls for the matters it covers.

2. VoyaWise's Role

VoyaWise provides a website through which you can search for, compare, and request bookings of flights, hotels, and car rentals. In providing the Services:

  • VoyaWise acts as an intermediary that arranges travel bookings between you and the companies that actually provide the travel services.
  • The airlines, hotels, car rental companies, and other companies that provide or operate the travel services you book ("Suppliers") are independent businesses. VoyaWise does not own or operate aircraft, hotels, or vehicles.
  • Your booking of a flight, hotel stay, or car rental results in a relationship with the relevant Supplier, and the Supplier's own terms, conditions, fare rules, and policies apply to that travel ("Supplier Terms").
  • Payment processors, booking and distribution platforms, and other technology or service providers that support the Services ("Third-Party Providers") are likewise independent from VoyaWise.

VoyaWise does not control, and does not guarantee, the quality, safety, schedule, availability, accuracy of information, or performance of any Supplier or Third-Party Provider, except where we expressly state otherwise in writing.

3. Eligibility

To use the Services to make bookings, you must:

  • be at least 18 years old and able to enter into a binding contract;
  • if you are booking for a company, be authorized by that company to make bookings and incur charges;
  • use the Services for lawful business or professional travel purposes, or other purposes we permit; and
  • provide accurate, current, and complete information.

We may decline or limit access to the Services, or refuse any booking request, where permitted by law.

4. Accounts and Authorized Users

Creating an account. Some features may require an account. You agree to provide accurate registration details and keep them up to date.

Corporate accounts. If a Corporate Customer has an account, its Travel Manager may be able to add or remove travelers, make bookings for them, and view or manage bookings made through that account, to the extent the Services allow. The Corporate Customer is responsible for the actions of its Travel Managers and travelers on the account, and for ensuring that anyone it authorizes has read and agrees to these Terms.

Credentials. You are responsible for keeping your login credentials confidential and for activity that occurs under your account. Notify us promptly at support@voyawise.com if you believe your account has been accessed without authorization. Do not share your account with unauthorized persons or transfer it without our written consent.

Booking for others. If you book for another person, you confirm that you are authorized to do so, that you have given them the information in these Terms and any applicable Supplier Terms that affect their travel, and that you have their permission to share their personal information with us.

5. Searching and Booking

Information shown. Search results, schedules, fares, rates, availability, photos, descriptions, amenities, and similar content come from Suppliers and Third-Party Providers. We work to display accurate information, but it can change quickly and may contain errors. Availability and prices are not guaranteed until your booking is confirmed.

Booking requests. A booking request is an offer to purchase travel. A booking is not complete until the Supplier or we, confirm it, for example by sending a confirmation. The Supplier or we may decline or cancel a request if, for example, the item is no longer available, a price was displayed in error, payment cannot be completed, or we suspect fraud or misuse.

Accuracy of traveler details. You are responsible for entering traveler details correctly, including names, dates of birth, contact information, and any other details a Supplier requires. For flights, names generally must match the traveler's government-issued travel document. Errors can lead to denied boarding, change or correction fees, or loss of the booking, and some corrections may not be possible.

Review before you submit. Please review all itinerary details, fare conditions, and Supplier Terms before confirming. Check confirmation messages promptly and tell us of any mistakes as soon as you notice them.

6. Prices, Fees, and Payment

What you pay. The total price shown at checkout is the amount you agree to pay for the booking. It may include Supplier charges, taxes, and fees, and may include any service or booking fees charged by VoyaWise, as shown to you before you complete your booking. Some charges may be collected directly by a Supplier, such as hotel incidental charges, resort or destination fees, parking, fuel, tolls, baggage fees, or rental extras and deposits. Those charges are governed by the Supplier.

Payment methods. Third-party payment processors process payments. VoyaWise does not guarantee that any particular payment method will be accepted. By submitting payment, you confirm you are authorized to use the payment method and authorize the charges for your booking and any amounts you owe under these Terms or the applicable Supplier Terms.

Currency, exchange, and bank fees. Your bank or card issuer may apply currency conversion, foreign transaction, or other fees, which we do not control.

Pricing errors. If a price is displayed incorrectly, we may correct it. If this affects a booking you have made, we will, where possible, give you the choice of keeping the booking at the correct price or canceling it without a penalty from us.

Taxes. You are responsible for any taxes that apply to your purchase. Tax treatment can vary by location and by Supplier.

Payment problems. If a payment fails, is reversed, or is disputed, we may cancel or suspend the booking and recover any amounts owed to the extent permitted by law.

7. Changes, Cancellations, and Refunds

Supplier rules control. Whether a booking can be changed, canceled, or refunded, and what fees apply, depends mainly on the fare rules, rate conditions, and policies of the relevant Supplier, which are shown or linked at booking or in your confirmation. Many fares and rates are non-refundable or restricted. You are responsible for reading and following them.

Requesting changes. To change or cancel a booking, contact us at support@voyawise.com or use any self-service option the Services provide. Contact us as early as possible, since Suppliers set deadlines that are often strict. We cannot guarantee that a Supplier will accept any change or cancellation request.

Fees. Suppliers may charge change, cancellation, no-show, or early-departure fees. Where VoyaWise charges a service fee for handling a change or cancellation, we will tell you before you proceed, to the extent such a fee applies.

Refund timing. Where a refund is due, it is generally issued to the original form of payment, and timing depends on the Supplier and the payment processor. We may be unable to refund you until the Supplier has refunded us. Credits or vouchers issued by a Supplier are governed by that Supplier's terms and may be held with the Supplier.

Disputes about a charge or cancellation. Please contact us promptly so we can try to resolve the issue with you and, where appropriate, the Supplier. We encourage you to contact us before starting a card dispute with your bank.

8. Flights

  • Airlines operate flights and set their own schedules, fares, conditions of carriage, baggage rules, check-in requirements, and refund and change rules. Airlines may change or cancel schedules and may overbook.
  • If an airline changes or cancels your flight, the airline's policies and applicable law determine your rights, including any rebooking, refund, or compensation. We will make reasonable efforts to pass on notifications we receive, but you should also check with the airline directly before travel.
  • The airline provides baggage, seat selection, meals, and other add-ons on its terms and fees.
  • You must not use booking practices that an airline prohibits, such as booking a segment you do not intend to fly in order to obtain a lower fare. You may be responsible for any resulting airline claims or fare differences.
  • Unused portions of a ticket may be canceled by an airline under its rules, for example, if an earlier flight segment is not used.
  • Airlines and governments may require advance passenger information and security screening details, which we may collect and share as needed to complete your booking.

9. Hotels

  • Hotels set their own room rates, check-in and check-out times, occupancy limits, deposit and incidental-charge requirements, cancellation windows, and house rules.
  • Photos, star ratings, and amenity descriptions are provided for general guidance and may not reflect current conditions. VoyaWise does not guarantee hotel quality, ratings, or amenities.
  • A hotel may ask for identification and a payment card at check-in and may place holds or charge incidental costs directly. You are responsible for those charges.
  • If you do not show up or leave early, the hotel may charge you under its policy.
  • Hotels may overbook or be unable to honor a reservation. If this happens, we will reasonably assist you in seeking an alternative or refund, but remedies depend on the hotel and applicable law.

10. Car Rentals

  • Rental vehicles are provided by rental companies under their own rental agreements, which govern pick-up, return, mileage, fuel, insurance, driver eligibility, and fees.
  • Drivers must typically hold a valid driver's license and present a payment card in the driver's name. The rental company sets age requirements and surcharges, deposit holds, geographic restrictions, and additional-driver rules, which vary by location.
  • You are responsible to the rental company for the vehicle, including damage, loss, theft, traffic and parking violations, tolls, and late-return or refueling charges, as described in the rental agreement.
  • Vehicle categories are examples; the rental company decides which vehicle to provide and cannot always guarantee a particular make or model.

11. Travel Documents, Health, and Safety

You are solely responsible for making sure each traveler has the documents and permissions required for the trip, such as valid passports, visas, entry authorizations, driver's licenses, and any required health or vaccination documentation, and for meeting the entry, exit, and customs rules of every country involved. We do not provide immigration, medical, or legal advice.

Travel can involve risks, including weather, civil unrest, health events, strikes, and other events beyond anyone's control. Please consult official government travel advisories and Supplier notices before and during travel. VoyaWise does not represent that travel to any destination is safe or advisable.

If you want it, you are responsible for arranging travel insurance. We do not assume that your booking includes insurance unless we clearly say so in writing.

12. Supplier Terms and Third-Party Services

Your booking is subject to the applicable Supplier Terms in addition to these Terms, and you agree to follow them. If a Supplier Term conflicts with these Terms regarding the Supplier's own services, the Supplier Term controls as between you and that Supplier.

The Services may include or link to websites, tools, or services run by others. These are not under our control, and we are not responsible for their content, privacy practices, or availability. A link does not mean we endorse the linked site. Your use of third-party services is at your own discretion and subject to their own terms.

13. Acceptable Use

You agree not to, and not to permit others to:

  • provide false, misleading, or fraudulent information, or impersonate another person or organization;
  • make speculative, fictitious, or fraudulent bookings, or use a payment method you are not authorized to use;
  • resell or transfer bookings or access to the Services in violation of these Terms or Supplier Terms;
  • use robots, scrapers, or other automated means to access, copy, or collect data from the Services without our written permission;
  • attempt to gain unauthorized access to the Services, other accounts, or our systems, or interfere with their security or operation;
  • introduce malicious code or otherwise disrupt the Services;
  • use the Services in violation of any law, regulation, or third-party right; or
  • harass, threaten, or abuse our personnel, Suppliers, or other users.

14. Corporate Travel Policies

A Corporate Customer may have its own internal travel policies, approval rules, or spending limits. Those rules are between the Corporate Customer and its personnel, and VoyaWise is not responsible for creating, interpreting, or enforcing them except as the Services expressly provide. For questions about a company's travel policy, contact that company's Travel Manager.

15. Communications

By providing your email address, phone number, or other contact details, you agree that we may contact you about your account, bookings, changes by Suppliers, service issues, and these Terms. Where required by law, we will obtain your consent before sending marketing messages, and you can opt out of marketing at any time using the instructions in the message or by contacting support@voyawise.com. Service-related messages about an active booking or your account may still be sent.

16. Privacy

Our collection and use of personal information is described in the VoyaWise Privacy Policy, which is part of these Terms by reference. We share information with Suppliers and Third-Party Providers as needed to complete and support your bookings. Those parties handle information under their own privacy policies.

17. Intellectual Property

The Services, including their design, text, graphics, software, logos, and other content, are owned by VoyaWise or its licensors and are protected by intellectual property laws. VoyaWise grants you a limited, non-exclusive, non-transferable, revocable right to access and use the Services for their intended purpose and in line with these Terms. You may not copy, modify, distribute, reverse engineer, or create derivative works from the Services, or use VoyaWise names or logos, without our prior written permission. Supplier and third-party names and marks belong to their owners.

If you send us feedback or suggestions, you allow us to use them without restriction or compensation to you.

18. Disclaimers

To the fullest extent permitted by law, the Services are provided "as is" and "as available." VoyaWise does not make any warranties, express or implied, including warranties of merchantability, fitness for a particular purpose, and non-infringement, and does not warrant that the Services will be uninterrupted, secure, or error-free, or that information on the Services is complete, accurate, or current.

VoyaWise is not responsible for the acts, omissions, delays, cancellations, schedule changes, overbooking, denial of service, injuries, losses, or other conduct of Suppliers or Third-Party Providers, or for events outside our reasonable control, such as severe weather, labor disputes, government action, pandemics, or technology or network failures. Some jurisdictions do not allow certain disclaimers, so some of the above may not apply to you.

19. Limitation of Liability

To the fullest extent permitted by law, VoyaWise and its owners, officers, employees, and agents will not be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, revenue, data, or business opportunities, arising out of or related to the Services or your bookings, even if advised of the possibility of such damages.

To the fullest extent permitted by law, our total liability for any claim relating to the Services or a booking will not exceed the amount of fees and charges you paid to VoyaWise for the booking at issue. This limit does not apply to liability that cannot be limited under applicable law, such as liability for fraud or willful misconduct.

20. Indemnification

You agree to defend, indemnify, and hold harmless VoyaWise and its owners, officers, employees, and agents from claims, losses, damages, and expenses (including reasonable attorneys' fees) arising out of or related to your breach of these Terms, your violation of law or third-party rights, information you provide that is false or unauthorized, or your misuse of the Services. Where a Corporate Customer's personnel or guests make bookings under its account, this obligation extends to their conduct on that account.

21. Suspension and Termination

You may stop using the Services at any time. We may suspend, restrict, or terminate your access or any booking if we reasonably believe you have breached these Terms, provided inaccurate information, created risk of fraud or harm, failed to pay amounts owed, or if required by law, in each case to the extent permitted by applicable law. Termination does not affect any bookings already confirmed with Suppliers, which remain subject to the applicable Supplier Terms, or any rights or obligations that arose before termination. Provisions that by their nature should survive, including those on payment, disclaimers, liability, indemnification, and disputes, will survive.

22. Governing Law and Disputes

These Terms are governed by the laws of the State of [Florida], United States, without regard to conflict-of-law rules. You and VoyaWise agree that any dispute arising from or relating to these Terms or the Services will first be raised with us in writing at support@voyawise.com so the parties can try in good faith to resolve it. If it is not resolved, the dispute will be brought in the state or federal courts located in [Pinellas County, Florida], and you consent to their jurisdiction, unless a separate written agreement between you and VoyaWise states otherwise or applicable law requires a different forum.

23. Changes to These Terms and the Services

We may update these Terms from time to time. When we do, we will post the updated version on the website and change the effective date. Where required by law or where a change is material, we will provide additional notice. Changes apply to your use of the Services after they take effect and do not change the terms of bookings already confirmed. We may also modify, suspend, or discontinue parts of the Services at any time.

24. General

  • Entire agreement. These Terms, together with the Privacy Policy and any separate written agreement with VoyaWise, are the entire agreement between you and VoyaWise about the Services.
  • Severability. If any provision is found unenforceable, the remaining provisions stay in effect, and the unenforceable provision will be applied to the maximum extent permitted.
  • No waiver. Our failure to enforce a provision is not a waiver of it.
  • Assignment. You may not assign these Terms without our written consent. We may assign them in connection with a merger, acquisition, or sale of assets, or as otherwise permitted by law.
  • Relationship. Nothing in these Terms creates a partnership, joint venture, agency, or employment relationship between you and VoyaWise, or between VoyaWise and any Supplier.
  • Headings. Headings are for convenience and do not affect interpretation.
  • Notices. We may give notices by email to the address on your account or by posting them on the website. You may contact us using the details below.
