1. About This Policy
VoyaWise (“VoyaWise,” “we,” “us,” or “our”) operates a corporate travel booking platform at https://www.voyawise.com/ (the “Website”). Businesses and their travelers use it to search for and book flights, hotels, and rental cars, and to manage travel accounts and related support (together, the “Services”).
This policy explains what personal information we collect, how we use and share it, how long we keep it, and what choices you have. It applies to Website visitors, Business Customer representatives and administrators, and travelers whose trips are booked through VoyaWise. “Personal information” means information that identifies you or can reasonably be linked to you, such as your name, email address, or travel details.
2. Business Accounts and Travelers
Most travelers use VoyaWise through their employer or another organization (a “Business Customer”). In that case:
- The Business Customer opens the account, decides who may book travel, and may see booking details, itineraries, traveler profiles, and spend information through its authorized administrators.
- We handle traveler information to provide the Services under our agreement with the Business Customer, and the Business Customer may have its own privacy notices.
- Where we use information for our own purposes, such as securing the Website, marketing, and legal compliance, we are responsible for that use as described in this policy.
Questions about how your employer uses your travel information should go to your company’s travel administrator.
3. Information We Collect
Information you or your organization give us
- Account and business details: name, work email, phone number, job title, company name and address, billing contacts, administrator details, and login credentials
- Traveler profile and booking details: name as shown on travel documents, date of birth, gender, nationality, trip dates and destinations, flight, hotel, and rental car selections, confirmation numbers, travel preferences, and loyalty program numbers
- Identification details needed by an airline, hotel, car rental company, or authority, such as passport, driver’s license, or other government-issued ID information
- Special assistance and accessibility requests, which may reveal health or religious information if you choose to include it
- Payment and billing details: billing name and address, payment method information entered on payment pages, invoices, and transaction records
- Communications: support requests, emails, chats, demo requests, surveys, and feedback
Information we collect automatically
- IP address, device and browser type, operating system, referring pages, pages viewed, dates and times of access, and similar usage details
- Information from cookies, pixels, and similar technologies (see Section 4)
Information from other sources
- Your employer or travel administrator, or a colleague or assistant who books on your behalf
- Airlines, hotels, car rental companies, and booking systems that send us confirmations and changes
- Business partners, analytics providers, and advertising networks
If you give us information about another person, please make sure you are authorized to do so.
4. Cookies and Similar Technologies
We use cookies, pixels, and similar technologies to keep the Website secure and working, remember your preferences, understand how the Website is used, identify errors, help detect fraud, and measure and deliver advertising.
- Essential cookies are required for login, security, and core functions. They cannot be turned off.
- Analytics cookies help us understand traffic and how visitors use the Website.
- Advertising and tracking cookies record information about your visit so our advertising partners and we can measure our campaigns and show you VoyaWise ads on other websites and platforms.
Advertising and analytics partners may use these technologies to collect information about your activity over time and across websites. They operate under their own privacy policies, and we do not control their tools.
Your choices. You can block or delete cookies through your browser settings, though some features may not work. If your browser sends an opt-out preference signal such as Global Privacy Control, we treat it as a request to opt out of advertising and tracking cookies where the law requires. You can also contact us to opt out of targeted advertising (Section 11).
5. How We Use Information
We use personal information to:
- Create and manage accounts and verify identity
- Search for, make, change, and cancel travel bookings
- Process payments, issue invoices, and collect amounts owed
- Send confirmations, itinerary changes, and service notices
- Give Business Customers booking, spend, and account reports
- Provide customer support, troubleshooting, and quality assurance
- Keep the Services secure and detect and prevent fraud and misuse
- Analyze usage, fix problems, develop new features, and improve and personalize the Services
- Send marketing communications about VoyaWise, where permitted by law, and measure our advertising
- Meet legal, tax, and accounting obligations, resolve disputes, and enforce our agreements
6. How We Share Information
Airlines, hotels, car rental companies, and other travel providers.
To complete a booking, we send the details the provider needs, such as names, dates, contact information, and any required identification or loyalty details. These providers handle your information under their own privacy policies.
Booking and reservation systems.
Bookings may pass through third-party systems that connect us with travel suppliers.
Payment processors.
We use reputable third-party payment processors to handle payments. Your payment details go directly to the processor, which processes them under industry security standards, including PCI DSS. We receive only limited information, such as payment confirmation, card type, and the last four digits. The processor’s own privacy policy also applies, including in the event of a data breach on its side.
Your Business Customer.
We share booking, itinerary, traveler profile, and spend information with the organization linked to your account and its authorized administrators for travel management, billing, and reporting.
Service providers.
We use companies that help us operate, such as hosting, software, customer support, email delivery, analytics, advertising and marketing, security, and billing. We require them to use information only to provide services to us and as required by law.
Legal and protective reasons.
We may disclose information in connection with legal investigations, to comply with law, subpoenas, or warrants, to protect or defend our rights and property and those of our users, and to investigate or help prevent violations of law, this policy, or our agreements.
Business transfers.
If VoyaWise is involved in a merger, acquisition, financing, or sale of assets, personal information may be transferred as part of it.
With your permission.
We may share information when you ask us to or consent.
We do not sell personal information in exchange for money. Some advertising and tracking tools may count as “sharing” for targeted advertising under some state laws. You can opt out as described in Sections 4 and 11.
7. Sensitive Information and Accessibility Requests
Booking travel can involve sensitive details, such as passport and driver’s license numbers, payment information, and accessibility, dietary, or religious requests that may reveal health or belief information. Please share only what your trip requires.
You are not required to include health or religious information in a request. If you choose to, you are giving us your consent and direction to collect it and pass it to the relevant airlines, hotels, or rental companies as part of your booking. We use it only to arrange your request. You can ask us to remove optional sensitive details from your profile at any time.
8. Data Security
We take the security of your information seriously. We use industry-standard measures designed to protect personal information from accidental loss and from unauthorized access, use, alteration, and disclosure. We store the information you provide on secure servers protected by firewalls, and we encrypt payment transactions using SSL/TLS technology.
No internet transmission or electronic storage is completely secure, and we cannot guarantee absolute security. If we learn that your personal information has been compromised, we will notify you as required by applicable law.
You need a password to access your account. Please keep it confidential and do not share it. We will never ask you for your password. Tell us right away if you suspect unauthorized access to your account.
9. Data Retention
We keep personal information only as long as needed to provide the Services and for the purposes in this policy. The time depends on how long you or your organization has an account or recent bookings, legal requirements to keep transaction and tax records, contractual obligations, legal claims and regulatory matters, and secure backup needs. When we no longer need information, we delete it or remove details that identify you. Copies in backups are deleted on the normal backup cycle. We keep information longer only where the law requires or permits.
10. International Data Transfers
VoyaWise is based in the United States, and your information may be stored and processed here. Booking travel can also require sending your information to airlines, hotels, rental companies, and service providers in other countries, which may have different data protection laws from yours. When we transfer information, we take steps appropriate to the circumstances and applicable law. By using the Services, you understand that your information may be transferred and processed in these locations.
11. Your Privacy Rights and Choices
Choices available to everyone
- Marketing: use the unsubscribe link in our emails, or contact us to opt out of marketing communications. We may still send messages about your account and bookings.
- Advertising: manage cookies in your browser, or contact us to opt out of targeted advertising.

Some of these rights are limited by law. We may, for example, withhold certain information for security reasons or where the law requires. If your account is managed by your employer, we may direct you to your administrator for some requests.

This section applies to Washington and Nevada residents and describes the health-related information we handle.

We do not ordinarily collect special categories of personal data, except where you choose to include health or religious information in a request, in which case your request is your explicit consent to our processing it for that purpose. The Website may link to third-party sites, and airlines, hotels, rental companies, and payment processors have their own privacy practices. This policy does not cover them, and we encourage you to read their policies.
18. Changes to This Policy
We may update this policy when our practices, Services, or the law change. We will post the revised policy on this page with a new effective date. We may also notify you by email if we have your address, and we will give additional notice of material changes where the law requires.
